Employee Benefits Communication Strategy
Employers spend significant resources on employee benefits, but most employees do not understand or appreciate what they have. Effective benefits communication drives enrollment, improves utilization of high-value benefits, and increases employee satisfaction — without changing the plan design or cost.
Core communication principles
Employees do not care about plan mechanics — they care about what the benefit does for them. Lead with the value proposition: "This plan covers your family's healthcare for $X per month" rather than "This is a PPO with a $1,500 deductible and 80/20 coinsurance."
Avoid insurance jargon. Replace "coinsurance" with "your share after the deductible." Replace "out-of-pocket maximum" with "the most you will ever pay in a year." Test communications with employees who are not benefits experts.
Use the channels employees actually use — email, text, Slack, Teams, posters in break rooms. Do not rely on a single annual benefits fair. Repeat key messages multiple times through multiple channels.
Generic communications are ignored. Personalized communications — "Based on your current plan, here is what changes for you" — drive engagement. Use enrollment data to segment communications by plan, family status, and life stage.
Every communication should have a clear call to action: "Enroll by November 15," "Schedule your annual physical," "Open an HSA." Remove friction from the enrollment process.

Announce open enrollment dates and any plan changes. Send a "save the date" to all employees.
Distribute benefits guide and comparison materials. Host a benefits overview webinar or town hall.
Send personalized enrollment reminders. Highlight key changes and deadlines. Open enrollment portal.
Send reminder to employees who have not yet enrolled. Offer 1:1 enrollment support sessions.
Final reminder to all employees. Emphasize the deadline and consequences of missing it (default enrollment or loss of coverage).
Confirm enrollment to all employees. Distribute ID cards and plan documents. Communicate effective dates.
